How To Set Up A Tickler File

In this lesson of the GTD Thirty Day Challenge we are going to talk about how to set up a tickler file, or specifically, how I set up my tickler file.

David Allen seems to be big on using 43 folders for his tickler file. These folders would be made up of 12 monthly folders and 31 daily folders. Let's say it is now January and I'd have all my daily folders behind the January folder. When a day ends, that day's folder goes behind the next month or February's folder. Looking at the 19th, I'd have the folders 1-18 behind the February folder at this point.

Now, how do you use it? Today, I had a bill I learned I had to pay on February 3. I don't want to forget it, so I would put it behind my February 3 tab. When that day rolls around, I check my tickler file and it prompts me to pay the bill.

If you asked me, I think using 43 folders for my tickler file is not the best way to set up a tickler file. First, it's hard to remember to check the tickler each day. You'll be asking yourself, "how do I remind myself to check the tickler file?" Secondly, it's very bulky and not very portable. Third, when you move the folders for each day to the next month you have to take items in that months folder and put them in the right day.

If you use GTD though, a tickler file is essential to set up because there are things in the future that you need to remember. The folder type of tickler is perfect if you have a lot of physical type items you use as reminders. For most people, their work doesn't create the kind of physical items that really justify a folder tickler file and I suggest setting up a tickler file differently to address the problems above.

How I Set Up My Tickler File

Step one is to create a plastic folder that I carry in my briefcase labelled "Waiting For" and all the things I need to remember on future dates go in there.

Next, I created a folder in my email account called "Yahoo Reminders". You'll see this folder if you look at the image of my email folder structure in How To Set Up Your GTD Email. I then set up a filter for all Yahoo Reminders to go into this specific folder and not in my inbox for processing.

The last component is Yahoo calendar. I put any item I need to remember and enter it as an all day event. I attach and email reminder to it that sends me a reminder 2 days ahead of the day I need to remember it. As a second reminder, a text is sent too.

In the above example, the bill I got needed to be remembered on February 3rd. I enter the all day event on the third like "Pay very important bill" and by default it sends me an email reminder two days before it occurs. The actual physical bill goes into my "Waiting For" folder in my briefcase.

On the 1st day of February, I get a Yahoo reminder that reminds me about the bill that needs to be paid on the third and it goes directly into my Yahoo reminder folder in my email account. In addition, a text goes out as well giving me a backup on my blackberry in case I can't get to my Yahoo reminder's folder in my email account. I review my blackberry text messages every day and review my reminders folder too as well if I have access to it.

This system works fantastic for me. It's extremely portable, it reminds me automatically and I don't have to rethink the items in my tickler when I move the tabs. If you are not using email reminders to help you remember stuff, you have no idea how this can effect your productivity. Even if you use 43 folders, I recommend email reminders 100% to be a part of your GTD system.

Don't Be a Fool: Desktops Rule

For you dreadful few who somehow managed to miss the computer revolution of the 1980s, allow me to recap. The desktop computer is a personal computer (PC, get it?) that fits on top of your rickety desk at home, unless your desk is too small, in which case its called a tabletop computer. Still with me? Good. Now, desktop computers can come in a range of shapes and sizes, from large vertical towers to small cases that fit behind the monitor to balloon animal desk mounts.

You can interface with this desktop contraption by means of a monitor, which lets you see what the computer is thinking and doing. You can give this desktop a command by means of a keyboard (think typewriter) and a mouse (not the furry kind). Fancy people, or people whom fancy music, have been known to plug speakers into the desktop computer. Ah, the sweet sounds of the Chariots of Fire soundtrack.

Now, breaking from the PC desktop, I would like to make brief mention of those kooks at Apple Computers. They are, and have been for some time, fond of the all-in-one computer. This means the tower or case is built into the monitor. This, of course, saves space (lots of it) and makes for a nice, clean contraption. Theyre meant to be more potable, but who in their right mid would carry an all-in-one desktop to the caf to check on the Cowboys game? Ok, some Cowboys fans might.

Now, in the never-ending tennis match between desktops and laptops, you must remember that desktops are easier to maintain and cheaper to repair. Fifteen-love. Laptops, on the other hand, are highly portable (duh). Fifteen-all. Desktop upgrades are easier to manage as all you have to do is pry off the cover, snap in your new piece of hardware, and off you go. Laptops, meanwhile, are highly portable. Desktops enjoy no power concerns " as long as theyre plugged in, youre good to go. Laptops suffer from chronic power shortages and indeed, as long as you keep them plugged in, theyre good to go.

So, ok, a desktop pretty much rules, but you just cant take it anywhere. So what, you say? Good point. Desktop computers still enjoy the lions share of power, memory, speed, and popularity (though many hipsters would disagree). If you've done the work we've discussed in the first 4 installments of this series, you've got to be feeling pretty great about your life focus and your business right now. Through the first 4 weeks you've worked on knowing who you are, where you're starting from, where you want to go, how you're going to get there and how to ramp up your sales and marketing program using better communications skills to bring in more cash.

Now it's time for a mentoring blueprint.

In other blueprints I've mentioned that the top 3% of the people in the world have such a different life than the other 97% because they look at life differently and they make conscious choices. I told you that one of those conscious choices is to create a plan for building their business and it's day to day operations for growth and financial prosperity.

Another very crucial conscious choice the top 3% of people make is to invest in themselves.

Once again, first you have to know your starting point. The next step is to evaluate how you feel about where you are and then decide where you would like to take it next. You need to be laser focused and absolutely clear on what your next step is to get the best results from mentoring. If you're not you could pick the wrong thing to be mentored on or the wrong time to do it.

It is likely that as you progress on your path you will have more than one mentor for different parts of your life or business working with you at the same time.

I have said many times that you should be willing to invest at least 10% of your income in your own growth if you are really serious. Then find the mentors that understand where it is that you want to go and have the experience to take you there.

Here is where I differ with what many coaches and gurus will tell you. They will say that you should only work with someone who has done what you want to do and mentored others to do the same.

But that's not the whole story.

Where would Tiger Woods be today if he took that advice? His coaches have not been the best golfers in the world at any time in their careers; far from it.

Some people are gifted teachers and know the process of what needs to be done to get Tiger, or you, to the desired result without either the personal skill or perhaps the desire to reach that level themselves or possibly neither.

In my 25 year career as a salesperson, manager and trainer, I can tell you that the majority of the best salespeople couldn't train others to do what they do because they don't have the skill of a great teacher. That's not their gift. And yet someone who was an average salesperson can have an amazing understanding of the sales process and be an incredibly gifted mentor.

Some of the top gurus in your field may be the same way, the very best at what they do but not the best person to mentor someone to do the same.

If I were to share my personal preferences with you, I look for a mentor that understands what I want to accomplish. If I'm working with them one on one or in a small group, I want them to be excited about being involved in helping me reach that goal. I want them to have the skill level to be able to guide me through the process.

Are you getting the mentoring you need to grow your business and expand your level of personal growth?

Even more so than the other blueprints this is as extremely individualized so it's important that you make a decision based on your own gut feeling about your possible mentor. Don't just ask for a recommendation from a friend and assume that the relationship you will have with your mentor will be the same as theirs.

In this type of relationship, where you are getting personal mentoring, having a good fit of personalities is very important.

Remember that this is all about you. What you are passionate about, what you want your life to look like, the activities you choose to include in the way you create your business and the way you grow your business. Make those things clear to your prospective mentor and see if you are in alignment before proceeding.

It's your life. It's your business. It's your choice. Do what feels right to you.
